Yes I agree, friday (20:00-20:30 london time?) can be used for the check and a short match with more people possible for see the perfomances.

Create a forum mailing list to the players will be very useful for a realtime update to the players about the meeting times and technical requirements. When the posts start to increase it becomes really difficult be sure all the people read the necessary information in time.
